Gympanzees Lending Library Terms & Conditions
Office Hours
- Open 10 am – 2 pm, Tuesday to Wednesday (every 4 weeks).
Registration
- Registration is free for anyone in Bristol or surrounding areas. However, there is a fee of £3 per item to loan.
- Gympanzees reserves the right to cancel your registration if the service is mistreated (e.g., repeated missed deliveries, late returns, or returning items dirty, damaged, or incomplete).
Delivery & Collection
Delivery Fees
- Our home delivery service costs £15 (£7.50 each way) for your equipment. FREE collection and drop-off are available:
- Main Centre (Aust, Bristol): Wednesdays.
- Partner Hubs: Tuesdays. (See Hub Service)
- Delivery charges are subject to monthly reviews and may change. We strive to keep costs minimal and supported by volunteers.
Waiver for Financial Hardship
- If you are experiencing financial hardship, you may qualify for free equipment and delivery. Proof of Universal Credit is required, and all related data will be securely deleted after verification.
Delivery Guidelines
- Ensure someone is home or arrange for a neighbour to receive the delivery.
- Equipment cannot be left in a ‘safe place’.
- Missed deliveries:
- We will attempt to contact you by phone.
- If no contact is made, the equipment will be returned to our lock-up, your loan will expire, and the delivery fee will not be refunded.
- Items can still be collected on Wednesday.
Hub services
Returns
- Items borrowed from a Hub must be returned to the same Hub at the end of the 4-week loan period.
Buffer Week
- A one-week buffer period is required for cleaning and repairs after items are returned.
- You cannot swap or borrow new items until the following week.
Missed Collections
- If items are not collected between 10 am – 2 pm on the collection day:
- They will be returned to the Main Centre in Aust.
- You will not be able to borrow those items for another 4 weeks.
Our partner hubs are collection and drop-off locations only. Queries about your order, payments, equipment or any other questions are handled by our Lending Library staff. Please email [email protected] if you need any assistance.
Loaning Equipment
- Loan Period: Standard loan is 4 weeks.
- After 4 weeks, all items undergo a cleaning and preparation process during a ‘buffer week’ (you cannot borrow during this time).
- Reservations: Reserve up to 3 items at a time if they are currently on loan or needed for a specific date.
Missing/Damaged Items:
- Missing pieces must be returned as soon as possible.
- If pieces are not returned, the item will be considered damaged, and a fee will be requested towards its replacement.
- For items valued over £100, you may be asked to pay the insurance excess fee of £100.
- Responsibility:
- Equipment is your responsibility while in your care.
- Supervise use as needed and keep items clean, complete, and undamaged.
- Report any loss or damage to Gympanzees immediately.
Batteries
- Equipment requiring batteries will include them, but they may not be fully charged.
- You are responsible for replacing batteries if needed.
Storage Containers
- Some equipment comes in bags or boxes.
- Items must be returned in the provided storage.
- Missing or damaged containers may incur a replacement charge.
Safety
- All equipment is checked for safety before being loaned.
- If an item arrives damaged or broken:
- Do not use it.
- Notify Gympanzees immediately.
- Equipment may come with manuals, safety instructions, or Gympanzees “How to Use” guides.
- Read these before use.
- Children should always be supervised when using the equipment.
Data Protection
- Gympanzees complies with the General Data Protection Regulation (GDPR).
- Your personal information is only used for the Lending Library service and is securely stored.
- Your data will not be shared without your consent.
- Inform us promptly if your contact details or address change.
Disclaimer
- Gympanzees is not responsible for any loss, injury, or damage caused by misuse of the equipment.
- Equipment age or weight guidelines are based on manufacturer recommendations.
- You are responsible for ensuring the equipment is appropriate for the child and used safely.
